Executive Assistant/Operations Coordinator

$22 – $25 an hour – Part-time – Remote

About the Role:

The Executive Assistant/Operations Coordinator is intended to be a support role within the firm and reports directly to the principal attorney. This employee must handle confidential and sensitive information and correspond with attorneys, judges, clients, and potential clients. This is a part-time(25-30hrs/week), remote position. We are located in Houston, Texas, and expect work to be performed during 8a – 6p CST.

Core Responsibilities:

  • Monitor and manage email for the principal attorney
  • Coordinate calendars, meetings and conferences; develop trip itineraries and presentation handout materials; coordinate travel for principal attorney
  • Plan, prepare, and edit reports, correspondence, memos, charts, presentation slides, forms, spreadsheets, pleadings for principal attorney
  • Develop, review, interpret, and communicate administrative policies, procedures, standards, and methods.
  • Running and reporting analytical analysis as designated principal attorney
  • Support bookkeeping and budgeting procedures for the firm
  • Billing and management of costs and expenses: enter all bills into Quickbooks online and client expenses into Clio
  • Enter all expenses from employee expense reports into the billing system
  • Assist in the payment of all vendors and employee reimbursements
  • Create and update databases and records for financial information, personnel, and other data
  • Manage vendor selection, and negotiations, supervise vendor changes, and maintain relationships with vendors
  • Develop and maintain processes and systems for a streamlined, cohesive standard of support that includes office operations and procedures, and communications
  • Coordinate firm functions and activities, including firm meetings, birthdays, anniversaries, luncheons, and firm parties
  • Monitor firm calendar and all administrative functions and activities
  • Monitor firm website, work with marketing to follow up with the creation of new content, and coordinate the execution of the new content
  • Coordinate holiday gifts and other gifts to clients and referral sources
  • Maintain up-to-date firm databases, including all active case files and contact information
  • Special tasks/projects as needed

Required knowledge and skills:

  • Proven experience as an executive assistant or in a similar administrative role, with law firm experience preferred
  • Proficiency in Microsoft Office Suite and other relevant software applications
  • Proficiency in Quickbooks Online
  • Experience with Clio Manage and Clio Grow is preferred
  • Ability to prioritize tasks and work effectively under pressure
  • Proactive attitude with the ability to anticipate needs and take initiative
  • Remote work experience preferred

  • Compensation is $22-25 per hour depending on experience

Senior Counsel / Of Counsel – Litigation

$100,000 – $130,000 a year – Full-time – Hybrid remote

About the position:

McGarvey PLLC is seeking a full-time Senior Counsel Attorney with at least 5-10 years of litigation experience. The ideal candidate will have experience in real estate and general business litigation and will be able to independently handle a docket and manage client expectations. This position requires the ability to work on interesting legal matters, develop and implement case strategy, delegate tasks, manage deadlines, communicate with clients and staff, and provide exceptional service to clients. As part of our team, you will collaborate closely with the principal attorney on litigation matters, ensuring that cases are handled with precision and efficiency.

About you:

The ideal candidate will have the following skills and experience:

  • Manage docket, develop and implement case strategy;
  • Complete files from start to finish
  • Identify and delegate research tasks
  • Independently depose witnesses
  • Plan for expert witnesses
  • Manage deadlines and prioritize tasks
  • Communicate updates and strategy to clients and staff
  • Ensure staff understand next steps and responsibilities
  • Move files through the litigation process and prevent dormancy
  • Gain an understanding of client concerns and communicate with clients
  • Excellent research and writing skills
  • Delegate and supervise work to associate attorneys, law clerks, and paralegals
  • Desire to do pro bono work
  • Strong commitment to developing junior attorneys and supporting staff growth
  • Commitment to professionalism and working collaboratively with opposing counsel, when necessary, to fulfill client objectives
  • Responsive and punctual
  • Work with minimal supervision

Within in the first 90 days you will:

  • Assume full responsibility for assigned files
  • Delegate research tasks to associates and law clerks
  • Independently handle mediations, hearings, and depositions and take associates along for training
  • Address client inquiries and concerns
  • Conduct initial 15-minute intake calls
